About The Role

We currently looking for a Receptionist who will be part of our amazing Estate Management Team, the role of Receptionist is to focus on delivering an exceptional first impression and experience to all our visitors both face to face, email and the phone. As part of a busy & friendly team, your role as a Receptionist will be responsible for a variety of administrative duties and assisting in the smooth running of this function, dealing with facilities queries raised to the team via the Service Desk function from all Ecotricity based sites.
 
The Estates Management department provides a key frontline service for all management and staff, and liaises with external companies, contractors and agencies to ensure a safe and effective working environment.  The department is fast paced and friendly but extremely professional with an optimally safe and effective working environment being its main focus.
 

Core Responsibilities - Reception 

  • Meeting and greeting of visitors to Ecotricity buildings. Providing a welcoming and professional service to visitors and internal staff at Ecotricity by manning the receptionist desk at our Lion House site
  • Receiving Internal post and delivering through the internal post system
  • Assisting in the collection and distribution of all inbound Ecotricity post and made ready for collection daily
  • Liaising with our Internal customers daily to ensure timely collection of deliveries received at Lion House
  • Maintaining and monitoring stock levels associated with the Receptionist role - stationery and refreshments at Lion House
  • Working with relevant departments on ensuring associated tasks are completed via the Service Desk Function, including; Pool Car Bookings, Outside Catering Requests, Refreshment requests, Stationery and deliveries
  • The issuing and cancellation of ID cards to staff and contractors
  • Ordering and monitoring of refreshments for all buildings
  • Ad-hoc customer service related administrative tasks where deemed appropriate by line management including work related to other Ecotricity Group Companies such as:
  • Forest Green Rovers
  • Other companies as part of the Ecotricity group 

Core Responsibilities - Administration Duties

  • DSE monitoring of new starters
  • Raising and processing purchase orders as and when required
  • Monitor pool car documentation to ensure that we remain compliant with internal and HMRC rules, and lease company conditions
  • Operate and maintain an effective filing system for the department
  • Operating the facilities service desk and responding to requests
  • To provide administrative support to enable the Facilities department to function effectively and efficiently and within agreed SLA’s
  • Any other duties as requested by the Facilities Manager / Head of Special Projects

  

About You

Essential skills:
 
  • Professional, courteous and friendly approach towards their work
  • Excellent Written & Verbal Communication Skill
  • Exceptional administrative skills with the ability to work to tight deadlines
  • Basic Computer Literacy including Microsoft Office Packages
  • Excellent Time Management & Personal Organisational Skills
  • Flexibility and the ability to manage multiple work-streams
  • Significant administrative, receptionist or F2F service experience
  • Electricity or Utility Industry Knowledge (preferred)
  • Experience of Customer Management Systems (SAP or Salesforce preferred)
  • All Ecotricity customers both internal & external customers of all levels, Utilities companies, Contractors and preferred suppliers
  • Supporting teams of Ecotricity’s Estates and Facilities department
